CAN I DROP BY OR DO I NEED AN APPOINTMENT TO SEE THE SPACE?

We cannot accommodate walk-in tour requests. We require appointments for tours. You can call our office at 972-238-0841 or email BusMgr@rwccf.onmicrosoft.com to schedule a tour. Tours are typically scheduled Monday through Friday between 10:00am and 2:00pm. Alternate times are subject to our event calendar.


WHAT ARE YOUR EVENT HOURS?

Events may be scheduled Sunday – Thursday between 8:00am – 10:00pm and Friday – Saturday between 8:00am – 12:00am.


WHAT DOES IT COST?

Please contact the business office for a quote. Pricing depends on which building(s) you rent. A $500 refundable security/damage deposit plus one-half of the venue rental fee is due at the time the rental agreement is signed to reserve book your date. The Balance is due 60 days before your event.


WHAT ABOUT FOOD?

You may NOT bring your own food. You must select a caterer for food service from the approved list. Any food, beverage, and staff specific to an event hosted with us must be arranged and contracted through the Caterer directly. Please contact each caterer directly for pricing and menu options. The kitchen serves as a catering prep area only.


CAN I BRING IN AN OUTSIDE CATERER?

The exception that may be approved to allow for an outside caterer would be if you have a cultural/ethnic/religious need our caterers cannot provide. An outside catering fee will be assessed. All applicable health permits, licenses and proof of liability insurance and workers’ compensation are the sole responsibility of the client and caterer selected.


WHAT IS YOUR ALCOHOL POLICY?

You are welcome to bring in your own alcohol for events, but it must be served by a TABC licensed bartender and coordinated through your contracted Caterer. Alcoholic beverages cannot be delivered and stored on RWCCF property in advance of your event. A Security Officer, scheduled through the Business Office, will be on site from the time the bar opens until the end of your event.


DO I NEED A SECURITY OFFICER?

A Security Officer is REQUIRED only if you are serving alcohol to your guests. You must book an Officer through us – the current rate is $65/hour and $75/hour on a Holiday.


SMOKING POLICY?

Smoking is NOT allowed inside the buildings. This includes E-cigarettes and Vaporizers.


WHAT DO YOU PROVIDE/INCLUDE WITH MY RENTAL?

We provide table and chair set up. The use of our glassware, dishware and silverware is included in the rental fee. Our Caterers will wash and store the items at the end of your event. We also have projectors/screens plus microphones/podium included with the rental fee. You just need to let us know you need them so we have them turned on for you. We do NOT provide Linens – tablecloths and napkins. Those can be rented through our Caterers or through your preferred vendor.


WHAT FORM OF PAYMENT DO YOU ACCEPT?

Richardson Woman’s Club Charitable Foundation (RWCCF) takes payment in the form of cash, check, money order or VISA, MasterCard and American Express. A 3% service fee for using a credit card will be charged.


WHAT ABOUT PARKING?

We have 132 parking spaces.


WHAT IS YOUR CLEANING POLICY?

All personal and decorative items must be out by your allotted venue rental time. Richardson Woman’s Club Charitable Foundation (RWCCF) is not liable for any items left overnight. Tables must be cleared of food and decorative items. All trash must be placed in the trash cans for the Caterers to take to the dumpster. The caterers will be responsible for trash removal, cleaning the kitchen and vacuuming the main areas.


WHAT TIME WILL I HAVE ACCESS TO THE VENUE TO DECORATE?

You will have 2 hours before your event starts to decorate. Additional time can be purchased. Contact the Business Office to make arrangements.


WHAT ABOUT A WEDDING REHEARSAL?

You will have 1 hour the day before your Wedding for a rehearsal. We cannot guarantee a time until 1 week out. It will depend on our rental calendar. No items may be brought in and stored during the rehearsal. No food or beverages are allowed during the rehearsal. The facility will not be cleaned between your rehearsal and event.


WE ARE USING A RENTAL COMPANY OR OTHER VENDOR. CAN THEY DROP ITEMS OFF OR PICK THEM UP OUTSIDE OF THE RENTAL PERIOD?

All vendors must deliver and pick-up during your allotted hours in the rental agreement.


ARE CANDLES ALLOWED?

Yes! Candles are allowed. We just ask that all candles be in a cylinder or votive vase to prevent any wax drip. Flameless candles are even better!


HOW FAR IN ADVACE DO YOU NEED OUR FINAL SETUP?

2 weeks prior to your event is a great time to confirm your floor plan and guest count.


HOW DO WE HANG DECORATIONS? WHAT IS ALLOWED?

  • Candles – must have a container to collect melted wax, so that wax will not fall on to floor or tables.
  • Décor – only painter’s tape adhesive material or command strips (or other material NOT causing
  • damage) is allowed on wall, glass, wood, brick or metal.
  • NO tape, nails, tacks, glue or staples may be used on any surface.
  • PROHIBITED ITEMS – Glitter, confetti, silly string, rice, birdseed, decals or stickers, smoke and/or
  • fog machine.
